Depending on your permissions for specific projects (e.g. Read Only, Create & Modify, etc.) some of the functions described in this topic may not be accessible to you. Refer to Manage Project, Folder, and File Team Shares for more information.
Workplace Online > Projects
The list on this page displays all projects to which you have access.
TeamA team is an entity, usually a company, which subscribes to the Workplace service. A team is made up of members and connections. members, administrators, and super administrators can create new projects. Connections cannot. Refer to Security Levels for more information.

When performing a copy, revert, or restore operation within Workplace OnlineWorkplace Online is the web portal that users within a team can use to access their data and administer their team., a progress bar displays at the bottom of the window.

Click the up or down arrow next to a column heading to sort items in ascending or descending order.
The area above the list allows you to limit the projects displayed:
Use the dropdown menu to the upper left corner of the list to display only:
- active projects
- project you own
- private projects
- projects shared by you
- projects shared with you
- hidden projects
- deleted projects
Use the check boxes on the left side of the project list to select more than one project.
- If the folder has not been shared at all a Private badge displays.
- If the item has been shared with individuals on the team, a green badge with the number of share recipients displays.
- If the item has been shared with groups on the team, an orange badge with the number of groups displays.
- If the item has been publicly shared, a blue link badge will display in the Shares column. Additional options display when you hover over the badge:
Hover over Public ShareA public share allows users that do not have a named Workplace account to access a project, folder, or file within Workplace. Link, then select one of the options described in the table below:
Members, administrators and super administrators only
- Click the + Create New Project button. This will open the Create New ProjectA project is a top-level folder within Autotask Workplace. A project is the primary container for all the folders and files that are synchronized by the Workplace service. Projects create the basic organizational structure to store data and control user access. popup:
- Enter a project name.
- Enter an optional project description.
- Click Create Project.
By default, you will be the project owner. To reassign the project to a different owner, refer to "Reassign" in the Manage projects area, below.
To open the Project Detail, click the project name.
If you are the project owner, you can access all functions for a project. If you are not the project owner, your ability to add, modify, or share a project is determined by the permissions granted to you when the project was shared with you. Refer to Manage Project, Folder, and File Team Shares for more information.
To access other functions, hover over the item and click the icon, or right-click the item. Then select one of the options described in the table below:

|Add||Add Folder||Add a folder to your project. This will open the Create New Folder popup:
Enter the folder name and optionally add a description, then click Create Folder.
|Word Document||Add a Word document to your project. This will open the Create New Document popup:
Enter the document name, then click Create Document. Refer to Create and Edit Documents Online.
|Excel Spreadsheet||Add an Excel spreadsheet to your project. This will open the Create New Document popup.
Enter the spreadsheet name, then click Create Document. Refer to Create and Edit Documents Online.
|Powerpoint Presentation||Add a Powerpoint presentation to your project. This will open the Create New Document popup.
Enter the presentation name, then click Create Document. Refer to Create and Edit Documents Online.

|Open the corresponding folder on your desktop or laptop.
Note that this option requires a Workplace DesktopAlso known as the Workplace Desktop app, and in the context of this documentation, simply "the app," Workplace Desktop is the software installed on a computer that is responsible for synchronizing data between the local drive and the cloud. Agent installed on the computer.
|FavoriteA favorite is a project, folder, or file attribute that makes the item easier to locate./Unfavorite||Add the project to or remove the project from your Favorites list.
|Copy||Copy the item to a different location, or to a new project. This will open the Copy Project popup:
To copy to a new project, select the appropriate radio button, enter the name of the new project, then click Paste.
To copy to an existing location, select the appropriate radio button, browse for the new location in the area provided, then click Paste.
|Upload||Upload files or folders to this project.
Drag and drop files or folders into the cloud image or click a button to browse for files. Refer to Upload Items to Workplace Online.
|Download||Download||Download the project to your computer's default download location.|
|Restore||Restore this project to a desired location on your desktop or laptop.
Note that this option requires a Workplace Desktop Agent installed on the computer.
|Manage||Rename||Rename the project . This will open the Rename Project popup:
Edit the project name, optionally update the description, then click Rename.
|Hide||Hide the project. This will open the Hide Project popup:
To confirm, click Hide.
Hidden projects are not deleted; they are just hidden from your views. Hiding a project only hides it for you. It will still be visible to other users.
You can display hidden projects using the dropdown menu in the Project List.
|Previous Versions||View previous versions of the project. Refer to Previous Versions.|
|Manage > Recursive Undelete||
If files or folders have been mistakenly deleted and you are the project owner or a Super Administrator, Recursive Undelete allows you to apply a "mass undelete" to a project or folder, including deleted files within sub-folders, that will reinstate all files deleted since a specified time.
Use the timeline to specify the date and time from which you would like to undo all deletions, then click Execute Undelete.
To confirm your action in the resulting popup, click the Undelete button.
|Reassign||Reassign the project to another team member. This will open the Reassign Project popup:
Select the resource.
Then optionally select the Grant Full Access & Reshare permissions to old owner when reassigning the project check box, then click Reassign Project.
|Delete||Delete the entire project and all files and folders in the project. This will open the Delete Project popup:
Confirm your action in the Delete Project popup.

|CommentComments are user-created notes attached to a project, folder, or file. Comments are a mechanism for collaboration and remain associated with the project, folder, or file, providing a clear and simple overview of conversation relating to the project, folder, or file.||Add a project comment. This will open the Add New Comment popup:
Enter your text, make your notification selections, then click Add Comment (or press Shift + Enter)
This option is only available if you are the project owner or Reshare permissions were granted when the project was shared with you.
|Share the entire project with one or more team members. For details, refer to Manage Project, Folder, and File Team Shares.|
This option is available to project owners and if Reshare permissions were granted when the project was shared with you unless restricted by Policy Profiles
|Create a public share for the project. For details, refer to Manage Project, Folder, and File Public Shares.|
|Send Link||Send a link to the project to one or more recipients.|
